What we collect, why, where it's kept, and for how long. In plain words.

- No passwords, ever. The intake refuses them.
- Kept apart. Each client has its own private store. Intake sends share one store in Sydney that only our server can reach.
- Deleted within 60 days after we stop working together.
- Kept in Australia. Your answers are stored in Sydney.
- Recordings aren't kept. Each is deleted once written out.

GroundWork AI is run by Reg Mon Aus Pty Ltd, ABN 49 697 171 074, in Perth, Western Australia.
What the intake collects

- Your name or your role
- Your email

- Your answers
- Your consent tick
- The written-out text of anything you spoke
Spoken answers
When you press Record, the recording is processed by Amazon in Sydney (Amazon S3 and Amazon Transcribe) and deleted as soon as it's written out.
Only the text is kept, and you check it before you move on. Our Amazon account is opted out of Amazon using that content to improve its services.
What we never collect
Passwords, PINs, tax file numbers, BSBs, bank account numbers, card numbers or access keys. The intake refuses anything that looks like one.
Why we collect it
To set Claude up for your business: your rules, your words, who approves what, and the jobs you want done.
Anything else? None. We don't sell or share your information, or use it for marketing.
Where it's kept, and for how long
Your answers and details are stored in Australia, with Supabase in Sydney, in one store for all intake sends that only our server can reach.
If you send the intake and don't become a client, everything you sent is deleted from that store automatically after 90 days.
Each client's information is kept in its own private store, and when we stop working together it's deleted within 60 days.
The email we receive, and who can see your answers
When you send the intake, GroundWork AI gets one email with your name, business, email, phone and how many questions you answered. It's sent through Amazon's email service in Sydney to GroundWork AI's own Google Workspace inbox, which isn't limited to Australia.
Your answers are never in the email. We delete it from our inbox when your answers are deleted, after 90 days, unless you become a client.
Who can see your answers? Only Nigell Lee, who runs GroundWork AI.
Keeping out robots
When you send, Vercel's bot check runs, along with a hidden trap field, a check for forms sent too fast, and a limit on sends from one place.
To limit repeat sends, we keep a scrambled form of your internet address for 24 hours, then delete it. The form also refuses anything that looks like a password, bank or card number, tax file number or access key.
Seeing, correcting or deleting your information
Email hello@getgroundwork.com.au. We reply within 5 business days and complete the request within 30 days.
